The position:

AMEWAS, Inc. is seeking a highly motivated and talented Payroll Administrator to support our Corporate Headquarters. The Payroll Administrator is a member of the of the Finance team, who partners with the Human Resources Manager and reports to the Chief Administrative Officer. The Payroll Administrator oversees the payroll team and tasking such as processing and maintaining semi-monthly payroll for 350 employees and processing payroll taxes in approximately 10 states (to include California).  The Payroll Administrator will be the main point of contact in the configuration of Accounting and People (as it relates to benefits deductions) modules in Costpoint.

This position is eligible for a hybrid work arrangement; partly in the physical workplace and partly remote.

Typical workload of a Payroll Administrator will include:

Payroll Processing

  • Work independently within the payroll team to ensure that domestic payroll and related taxes are processed accurately in Costpoint.
  • Ensure the completion of:
    • Accurate calculation of tax payments and timely remittance of federal, state, and local payroll tax withholdings for the multiple states.
    • Accurate and timely filing of federal, state, and local payroll tax returns.
  • Approve direct deposit information for employees.
  • Process semi-monthly payroll transmission.
  • Reconcile payroll reports.
  • Audit data entered and makes appropriate adjustments. Verify the accuracy of changes based on the support received and resolve discrepancies.
  • Annually, reconcile taxable wages before approving W-2's for printing and distribution.
  • Ensure each semi-monthly payroll is accurate and issues are communicated to the Chief Administrative Officer.
  • Assist with processing, calculating, and posting a variety of payroll processes: wage garnishments, benefits withholding, and severance payments.
  • Maintain appropriate support of approval for all payroll transactions.
  • Update payroll policies and procedure documents as practices and regulations change.
Internal Controls
  • Ensure that proper policies, procedures and internal controls are implemented by the Payroll team. Revise policy and procedure documents as necessary. Implement any changes or additions to payroll procedures by ensuring the changes are properly communicated to appropriate staff (Payroll, Human Resources and/or all staff, if necessary).
  • Seek opportunities for efficiencies and update payroll policies and procedure documents as practices and regulations change.
  • Store payroll documents securely and purge historic records in accordance with the record retention policy.

401(k), Pension Plans and Other Benefits

  • Act as a key resource in the 401(k) and workers' compensation audits and surveys.
  • Remit employee deferrals and employer contributions to the 401(k) plan.
  • Work with the Human Resources team for benefits reimbursements, relocations and reconciliation of the 401(k) plan.

Other

  • Contribute to and participate in tasks and special projects as needed.
  • Proactively keep Chief Administrative Officer informed of the status of day-to-day activities and issues as they arise.
  • Develop an effective working relationship with other staff and serve as a trusted advisor on payroll issues.
  • Participate in professional development activities to keep payroll expertise current and to ensure awareness of changes in payroll practices and regulations.
  • Maintain annual payroll schedules and communicate the information to relevant staff.
  • Generate standard and ad hoc reports as requested.
  • Research payroll issues as necessary. Resolve moderately complex issues, referring the most complex issues to the manager, as necessary.

Costpoint (desired)

  • Costpoint configuration changes in the test and production environments including:
    • Earnings and deductions codes
    • New benefit plans
    • Open enrollment elections
    • Total rewards statements

Must-haves:

  • Bachelor’s degree in Accounting or Finance (or a business-related field) or additional experience.
  • Minimum of 5 years of experience processing payroll for DoD contractors with 200+ employees.
  • Ability to maintain utmost confidentiality.
  • Supervisory or leadership experience desired.
  • In-depth experience configuring and using Costpoint Payroll and People modules is desired.

Physical environment and working conditions:

The employee may be required to travel short distances to offices/conference rooms and buildings on site.  In some occasions, the employee may be required to report to offices or buildings near the work site
